Registration Details
This year’s conference will be held October 7–9 at the Hyatt Regency Orange County in Garden Grove, CA. The conference will begin with a welcome session at 9:00 am on Wednesday, October 7, and will end at 4:30 pm on Thursday, October 8. Optional half-day post-conference workshops will be offered on Friday, October 9, for an additional fee.

**The RP Group member registration rates are available to participants attending from California community college institutions (colleges or district offices) that are current RP Group institutional members.
If your institution is planning to sign up for 2026–27 membership, you may register at the member rate. Dues payments for 2026–27 must be received by September 30, 2026, to qualify for the conference member registration rate.
*** Groups of 10 or more registering from the same institution will receive 10% off the member or non-member registration rate. Contact us at registration@meetingwise.net for a group discount code.
The group discount cannot be applied to the presenter rate or post-conference workshop rate.

Payment, Cancellations, and Transfers
Payments
Payment may be in the form of a credit card or check. Check payments are due by September 23, 2026, for all registrations made by September 16, 2026. Those who register after September 16, 2026, can only pay by credit card.
Credit Card Payment
Payment may be made by credit card directly in our registration system at the time of registration or at a later date. If you would like to pay by credit card at a later date, you will need to initially select "Pay by Check" when registering. Then, when you are ready to pay, use the link in your confirmation email to modify your registration by switching to a credit card payment.

All cancellations must be made in writing via email to registration@meetingwise.net. Non-payment will not result in automatic conference registration cancellation. Since attendees are permitted to register without payment, cancellations will only be accepted via written request with confirmation of receipt.
Main Conference Cancellations:
Cancellation by September 23, 2026, will result in a full refund, minus a $75 administrative fee. All cancellations must be made in writing via email to registration@meetingwise.net and are not valid unless you receive a return confirmation that your email has been received. No refunds will be offered for cancellations made after September 23, 2026.
Post-Conference Workshop Cancellations:
Cancellation by September 23, 2026, will result in a refund, minus a $20 admin fee. All cancellations must be made in writing via email to registration@meetingwise.net and are not valid unless you receive a return confirmation that your email has been received. No refunds will be offered on cancellations after September 23, 2026.
If you selected "Pay by Check" and your check has not been received by your cancellation date, you will be billed for the amount due, based on the cancellation policy. Cancellations made prior to the cancellation deadline will be invoiced for the administrative fee. The full amount of your registration will be invoiced for cancellations made after the cancellation deadline.
For cancellations on paid registrations made on or before the cancellation date, all refunds (less the cancellation fee) will be issued within 15 business days after the conference.
Note: The administrative fee includes transaction fees assessed by our online registration provider.
Registrations Transfers
Registration transfers are allowed and may be made by the registrant (or the person who originally made the registration) directly in our registration system at any time without an additional fee. You may also contact us at registration@meetingwise.net to help you with a transfer.

Presenter Registration
All presenters on accepted sessions are eligible for a discounted presenter rate. Select the “Presenter” registration type from the options on the registration form to receive the discounted rate. Group Registration
Groups of 10 or more registering from the same institution will receive 10% off the member or non-member registration rate. Contact us at registration@meetingwise.net for a group discount code. The group discount cannot be applied to the presenter rate or post-conference workshop rate.
For those registering groups/teams, all registrations must include each individual’s name and contact information. Placeholder registrations (e.g., registrant name listed as “Participant 1”) will not be allowed and will be deleted, with an email notification sent to the email address of the person who made the registration.

Room Hosts
Serve as a Room Host for SSSC26
Complete this request form to serve as a room host and attend the conference for free! Room host assignments will be made in the order in which commitments are received, and you will be assigned to a specific room for each day. We will share the final conference schedule with you by August 1, and you will have the opportunity to submit your room preferences then.
We will also need room hosts for the Friday, October 9, post-conference workshops (from 8:00 am to 12:30 pm), and we will fill those opportunities as requested. You must be signed up as a room host on Wednesday and Thursday to request hosting on Friday as well. Find post-conference workshop titles on our website. If you would like to be a workshop room host, please indicate your top workshop preference in your form. We will confirm your workshop choice in August.
Requirements

Attend a 30-minute orientation session on Wednesday, October 7, at 8:00 am.

Be available for the entire day (beginning at 8:00 am on Wednesday, October 7, for orientation through 5:00 pm, and 8:30 am until 3:00 pm on Thursday, October 8).

Serve as the room host during all breakout sessions on each day of the conference.

Pay your own travel and lodging fees (room rate of $239 plus taxes & fees per night), including parking fees, as applicable (discounted overnight and day self-parking rate of $20/day).

Your Responsibilities
Mandatory Orientation

Hosts will need to attend an orientation meeting on Wednesday, October 7, at 8:00 am at the conference site.
Before the Session
-
Be sure to have your HOST ribbon affixed to your badge.
-
Arrive 15 minutes (minimum) prior to your first session each day to check the room for proper setup and familiarize yourself with the room, lighting, and the closest restrooms.

Ensure the room is refreshed appropriately between sessions. Advise MeetingWise staff (wearing STAFF ribbons) if assistance is needed.

Identify yourself to the presenters as someone who can assist them as needed during the session. Ask how they would like to be reminded of the amount of time they have left (e.g., 10-, 5-, and/or 1-minute notifications).
During the Session

Make sure the session starts on time.
-
Remind attendees to put phones on silent or vibrate.
-
Assist late arrivals in finding seats.
-
Position yourself at the back of the room during the session so you can be easily located if needed.

Provide assistance with any issues that come up during the session.

Immediately report any technology challenges to MeetingWise staff; a representative will be sent to the room.
End of the Session

Thank presenters and participants, and direct participants to the next activity, as appropriate.

Complete an electronic evaluation form for each session you host (to be shared with you in advance of the conference).
The final planning details, including the orientation room name, will be emailed to you within one week of the conference.

Post-Conference Workshop
Each year, our post-conference workshops are held on the final day of the event for an additional fee. If you would like to add a post-conference workshop to your main conference registration, you will have the opportunity to do so in the registration form. If you would like to attend a post-conference workshop ONLY, please select the “Post-Conference Workshop Only” option under the Registration Type menu.
Workshops last three and a half hours and include a continental breakfast. Participants may choose one workshop. Find details about each workshop on the Post-Conference Workshops page.
